Job Description

Job Summary :

The Office Administrator is the backbone of the Scout/Guide Headquarters, responsible for managing daily operations, streamlining administrative workflows, and providing essential support to both professional staff and volunteers. This role ensures that all administrative functions, membership records, and event logistics align with the organization’s mission of character building and community service.

2. Key Responsibilities

  • Office Management: Oversee daily operations, including managing incoming/outgoing correspondence, filing systems, and office inventory.
  • Member Record Keeping: Maintain up-to-date databases of all Scouts, Guides, Adult Leaders, and units. Ensure timely registration and renewal of memberships with the State/National Headquarters.
  • Event & Camp Logistics: Coordinate logistics for district/state-level camps, Jamborees, training workshops, and meetings (e.g., booking venues, organizing materials, preparing schedules).
  • Communication & Liaison: Serve as a primary point of contact between volunteers, unit leaders, government officials, and national headquarters.
  • Document Management: Draft reports, official circulars, and notices for upcoming programs, ensuring adherence to standard operating procedures (SOPs).
  • Financial Support: Assist with basic accounting, handling membership fees, processing invoices, and preparing documentation for auditing.
  • Support & Coordination: Assist the District Organizing Commissioner (DOC) in implementing training courses and awards (e.g., Rashtrapati Award).

Requirements

  • Education: A minimum Graduates.
  • Experience: Previous experience working with children or young people is highly desirable. Prior involvement with scouting or guiding is a significant advantage.

    • Leadership: Strong leadership and organizational skills.
    • Communication: Excellent communication and interpersonal skills.
    • Enthusiasm: A passion for youth development and a commitment to the values of The Bharat Scouts and Guides.
    • Availability: Willingness to dedicate time to regular meetings, weekend camps, and training sessions.
  • Personal Qualities: Patience, a positive attitude, and a strong sense of responsibility.
