Job Summary:
As a Back Office Sales Executive, you will be responsible for providing essential support to the sales team, contributing to the overall efficiency and effectiveness of sales operations. Your role involves handling administrative tasks, managing sales data, and ensuring a seamless flow of information between the sales team, customers, and other departments.
Key Responsibilities:
- Data Management:
- Maintain and update customer and sales records in the company's CRM (Customer Relationship Management) system.
- Ensure accuracy and completeness of data entry.
- Generate and analyze sales reports, providing insights to support decision-making.
- Order Processing:
- Process sales orders, ensuring accuracy in product, pricing, and delivery details.
- Coordinate with logistics and shipping departments to ensure timely and accurate order fulfillment.
- Handle order-related inquiries and resolve any issues promptly.
- Customer Support:
- Assist customers with order inquiries, product information, and general support requests.
- Collaborate with the customer support team to address customer concerns and provide solutions.
- Documentation:
- Prepare and maintain sales-related documents, including quotations, contracts, and invoices.
- Ensure all documentation complies with company policies and legal requirements.
- Inventory Management:
- Monitor inventory levels and coordinate with the procurement team to ensure product availability.
- Assist in managing stock levels to meet customer demand without overstocking.
- Sales Team Support:
- Provide administrative support to the sales team, including scheduling appointments, coordinating meetings, and managing travel arrangements.
- Assist in preparing sales presentations and proposals as needed.
- Communication:
- Maintain open communication channels between the sales team and other departments, such as marketing, finance, and operations.
- Ensure seamless information flow to facilitate effective decision-making.
Qualifications:
- Bachelor's degree in Business Administration, Marketing, or a related field (preferred).
- Proven experience in a similar role in sales support or administration.
- Proficiency in using CRM software and other office productivity tools.
- Excellent attention to detail and organizational skills.
- Strong communication and interpersonal skills.
